Privacy policy for recruitment using Teamtailor
This online service for managing recruitment and hiring processes is supplied by Teamtailor (Service) on behalf of Dare International Ltd and its affiliates (Controller, we or us).
This privacy notice describes how we collect and use personal information about the persons using the Service (Users, you or your) in connection with recruitment processes conducted by us or on our behalf in accordance with data protection law, including the UK General Data Protection Regulation (UK GDPR).
1. General
We are the controller for the purposes of UK GDPR. This means that we are responsible for deciding how we hold and use personal information about Users, whether contributed by Users to the Service or otherwise collected in connection with the Service. We are required under data protection law to notify you of the information contained in this privacy notice.
Users’ personal information is processed by us in connection with the Service and for the purpose of initiating and facilitating the recruitment of staff for our business.
Please be advised that if you provide personal information by using the Service, you will be deemed to guarantee that all such information is complete and accurate.
2. Collection of personal information
When and how we collect personal information
We typically collect Users’ personal information from them when Users:
- make an application through the Service or otherwise, providing personal information about themselves either personally or by using a third party source such as Facebook or LinkedIn;
- use the Service to connect with our staff, providing personal information about themselves either personally or by using a third party source such as Facebook or LinkedIn; and/or
- provide personal information through the chat function (as provided by the Teamtailor website that hosts the Service) and such personal information is of relevance to the application and recruitment process.
We may also collect personal information from third parties, such as Facebook, LinkedIn and other public sources. This is referred to as ‘sourcing’ and may be manually performed by our employees or automatically using the Service.
In some cases, existing employees can make recommendations about potential applicants and provide personal information about such potential applicants using the Service. In these cases, the potential applicant is considered a User in the context of this privacy notice and will be informed about the processing.
The types of personal information collected and processed
The categories of personal information that may be collected, stored and used through the Service include names, contact details, pictures and videos, information from Facebook, LinkedIn and other third party public sources, responses to questions asked throughout the application or recruitment process, employment and education history (including job titles, qualifications and other information included in a CV or cover letter) and any other information that the User or others have provided through the Service.
3. Purpose and lawfulness of processing
How we use your personal information
Your personal information will be collected and handled by us for the following purposes:
- to manage the application and recruitment process;
- to respond to your request or question when you contact us;
- to contact you for current and future job opportunities;
- to send you other related information that may be of interest to you;
- to allow you to participate in interactive features of the Service and the website, if you choose to do so;
- to best tailor content and resources according to your preferences;
- to help us create, publish and improve the content that is most relevant to you;
- to ensure that the content provided through the Service and the website is presented in the most effective manner for you and for your device;
- to further develop and improve the Service, website and systems to better serve you; and
- to notify you about changes to the Service or the website.
Our use of your personal information is permitted by applicable data protection law because it is:
- necessary for our legitimate interests in pursuing the purposes set out above, and such interests in each case not being overridden by your privacy interests;
- in some cases, necessary to meet our legal or regulatory responsibilities, such as disclosures to authorities, regulators or government bodies; or
- in some cases, necessary for the performance of a task carried out in the public interest and, when we use special categories of personal information, necessary for establishing, exercising or defending legal claims or where the processing relates to personal information manifestly in the public domain.
We will only retain your personal information for as long as necessary to fulfil the purposes for which we collected it, including for the purposes of satisfying any legal, accounting or reporting requirements. To determine the appropriate retention period for personal information, we consider the following factors: the amount, nature and sensitivity of personal information; the potential risk of harm from unauthorised use or disclosure of personal information; the purposes for which we process personal information; and applicable legal requirements.
The consent of the data subject
As a User, you consent to the processing of your personal information for the purposes stated above when you click the acknowledgement button and acknowledge the following: I have read and understood the Privacy Policy and confirm that Dare International Ltd and its affiliates may process my personal information for the purposes of my job application and any other purposes stated in the Privacy Policy.
The User has the right to withdraw their consent at any time by contacting the Controller using the contact details listed under paragraph 9. The withdrawal of consent may, however, mean that the User cannot apply for a specific job or otherwise use the Service.
Storage and transfers
The personal information collected through the Service is stored and processed inside the UK and EEA. To facilitate the Service, we may need to transfer personal information outside of the UK and EEA. If we do, we will make sure that appropriate safeguards are in place (including legally binding protections under agreements with third party suppliers) to protect the rights of data subjects whose personal information is transferred.
How long the personal data will be processed?
Users’ personal information is only retained by us as long as we deem it necessary to fulfil the purposes stated above, including for the purposes of satisfying any legal, accounting or reporting requirements. If a User may be suitable for future recruitment processes, we may retain that User’s personal information until they are no longer suitable or eligible for future recruitment processes. If you as a User wish not to have your personal information processed for this purpose (future recruitment), please contact us using the contact details in paragraph 9.
4. Users’ rights
Users have the right to request information about the personal information that is processed by us by contacting us in writing using the contact details in paragraph 9. Users have the right to one copy of the personal information we process about them.
Users have the right to, if necessary, request rectification of inaccurate personal information that we hold about that User, by contacting us in writing using the contact details in paragraph 9.
Users have the right to request the deletion of personal information where there is no good reason for us to continuing to process it or request a restriction on or suspension of the processing. Users also have the right to object to request the deletion or removal of personal information where the User has exercised their right to object to processing.
Users have the right to object to the processing of their personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which means you want to object to processing on this ground.
If we have relied on a User’s consent as a ground for processing, the User has the right to withdraw consent. Exercising this right may, however, mean that the User cannot apply for a specific job, participate in a recruitment process or otherwise use the Service.
Under certain circumstances, Users have a right to data portability, which means a right to transfer personal information to another controller as long as this does not negatively affect the rights and freedoms of others.
Users also have the right to lodge a complaint to the Information Commissioner’s Office regarding the processing of personal information relating to them and related data protection issues.
5. Security
We take appropriate security measures to ensure that your personal information is processed safely and securely in accordance with applicable data protection law.
It is important that Users also take responsibility to ensure that their personal information is secure and protected from unauthorised access or use. It is the responsibility of the User that their login information is kept secret.
6. Sharing personal information
We will only share your personal information where permitted by law. We may share Users’ personal information with third party service providers that process data on our behalf, including:
- our contractors, sub-contractors and affiliates, acting as our joint controllers, processors or sub-processors in accordance with our instructions for the provision of the Service;
- authorities and regulatory bodies in connection with an investigation, legal action or pursuant to court or tribunal orders; and
- our insurers and, on a confidential basis, our advisers (including our lawyers for the purpose of seeking legal advice).
In connection with the Service, we work with the following categories of processors which may process your personal information: Teamtailor, which supplies and facilitates the Service, server and hosting companies, email reference companies, video processing companies, information-sourcing companies, analytical service companies and other third parties in connection with suppling the Service.
7. Aggregated data (non-identifiable personal information)
We may share aggregated data with third parties. The aggregated data has in such instances been compiled from information that has been collected through the Service and can, for example, consist of statistics of internet traffic or the geological location for the use of the Service. The aggregated data does not contain any information that can be used to identify individual persons and therefore does not constitute personal information under data protection law.
8. Cookies
When Users use the Service, information about such usage may be stored as cookies. Cookies are passive text files that are stored in the internet browser on the User’s device, such as a computer, mobile phone or tablet, when using the Service. We use cookies to improve the User’s usage of the Service and to gather information about, for example, statistics about the usage of the Service. This is done to secure, maintain and improve the Service. The information that is collected through the cookies can in some instances be personal information and is, in such instances, regulated by Teamtailor’s Cookie Policy.
Users can at any time disable the use of cookies by changing the local settings in their devices. Disabling of cookies can affect the experience of the Service, including some functions or features of the Service.

We have the right to, at any time, make changes or additions to this privacy notice. The latest version of this privacy notice will always be available through the Service. Substantial updates to this policy will be notified to Users by email (using the email provided by the User in connection to the use of the Service).
